- Enrolment
- A non-refundable registration fee is required to enrol your child.
- A place will be offered for your child as soon as one becomes available on the days/sessions requested.
- You are expected to complete all the necessary forms to enrol your child.
- Absences
- You should notify the club if your child is going to be absent.
- It is not the schools responsibility to inform the club of your child's absence.
- All absences will be charged at the full rate unless alternative arrangements have been made with the manager of the club.
- In the event that you cannot make contact with the setting, please telephone Elaine Beach on 07803 182819
- Illness
- If you suspect that your child has an infectious or communicable disease you should notify the club ASAP.
- No child with an infectious or communicable disease may attend the club until fully recovered.
- If a child becomes ill while at the club you will be contacted and, should it be necessary, medical attention will be sought.
- Any child who has been vomiting and/or had diarrhoea must not return to the club until 48 hours after the last bout of the illness
- If your child is unable to attend the club due to illness please let us know at least 2 hours prior to the club's start time.
- If your child is unable to attend due to illness you may have to pay 50% of the session booked or a session in lieu may be booked.
- Bookings
- Bookings should be made on a half-term basis in advance.
- You are required to give 28 days' notice of termination or change to contracted booking.
- Holiday club bookings are taken on a first come first served basis.
- We do not run any clubs on bank holidays.
- Payments
- All invoices will be issued on the information held on our database.
- Invoices will be issued monthly in advance for sessions booked.
- No changes to invoices will be made once issued.
- Fees are payable weekly in advance.
- All ad-hoc bookings, including holiday club sessions, must be paid for, in full on receipt of invoice.
- We do not give credit. Failure to pay fees in advance may result in your child losing their place.
- No charge will be made for Bank holidays.
- We reserve the right to refuse entry to any child who does not have a completed booking form.
- Your child's place is not secured until payment is received in full.
- A change of session may incur a charge.
- Children collected from schools, other than where the Club is located, may incur a 'Collection fee'.
- Cancellations must be made in writing, 10 working days prior to the next calendar month or Holiday Club date otherwise you may be charged may be incurred.
- You may incur a 'late collection fee' should your child be collected after closing time.
- If you fail to pay your invoice on time a 'late payment fee' will be charged, 7 working days after the date of your invoice.
- After 10 working days from the invoice date any outstanding invoices and fees will be forwarded to the Area manager.
- After 15 working days from the invoice date any outstanding invoices and fees may be passed to our financial controller for referral to our Solicitor.
- Oscahs will not be held liable for the closure of the setting due to third party action or unforeseen circumstances.
- All bookings and discounts are at the discretion of the management and the management's decision is final.
- Additional charges may apply for special events e.g. Christmas Party etc. You will be notified in advance when this is the case.
- We will pursue all payment defaulters through the County Courts.
- You will be liable for the payment of any additional legal costs.
- Behaviour
- Your child is expected to behave in accordance with the Behaviour Policy.
- We reserve the right to suspend and/or exclude any child who persistently behaves in an unacceptable manner.
- It is the obligation of the parents to inform their child that they must not leave the premises except when accompanied by a person named on the registration document or a member of staff.
- Should your child run away from the club, we will inform you ASAP and may contact the relevant authorities.
- Data Protection
- The information you provide us will be processed electronically for administrative purposes and is subject to the terms of the Data Protection Act 1984.
- We will only release personal information to the relevant authorities as required under the legal terms of the Children Act 1989 and the Childcare Act 2006.
- General
- We are registered with the Local Authority and OFSTED.
- We adhere to the OFSTED Welfare Regulations and Requirements at all times.
- We have a legal duty, under the Children Act 1989 and Childcare Act 2006 to report any suspicion of suspected child abuse and/or neglect.
- We will ensure that there are a minimum of two members of staff present at the club at all times.
- We cannot take responsibility for the loss or damage to any personal belongings brought into the Club.
- Staff are:
- Checked by the Criminal Records Bureau.
- Approved by the OFSTED Early Years Foundation.
- Qualified in emergency first aid and are able to deal with minor injuries.
- Trained in the field of childcare.
- Breakfast Club Procedures
- Your child will be escorted from our venue to their class by a member of our staff at the start of the school day.
- After School Club Procedures
- Your child will be collected from their school at appropriate school finishing time and escorted to our clubs venue by a member of our staff.
- You must sign your child out of the club upon collection.
- Your child must be collected by the club's closing time.
- Your child will only be released to you or a person named on the registration form.
- In emergencies, other adults can be nominated to collect your child where written, or, in an extreme emergency, verbal permission has been given by you.
- Under no circumstances will your child be released to any person that has not been specified by you.
- Your child will under no circumstances be released to any person, named on the registration form or not, who is under the age of 16.
